Summary
Reporting to the Executive Director, the ADMINISTRATIVE ASSISTANT will assume the administrative responsibilities for NCN Noosi Muskwa Women’s Shelter. The Administrative Assistant will have a background in both administrative and social services. This role is a daytime position with the ability to adjust hours on occasion.
Duties and Responsibilities:
Administrative
- Maintain excellent professional working relationships with all employees, clients of the Shelter as well as external agencies.
- Always maintain confidentiality.
- Refer to and follow policies and procedures.
- Answer, screen and document telephone calls by identifying, defining, and prioritizing presented problems and making decisions according to the needs of the caller.
- Maintain a well-organized work area.
- Record daily incoming/outgoing faxes and mail.
- Ability to communicate both verbally and in writing.
- Proficient in Microsoft and
- Prepare typed reports.
- Monitor appropriate care and maintenance of the facility.
- Assist with set up planning and preparation for staff meetings, special meetings, and Annual General Assembly.
- Other duties as assigned.
Financial Bookkeeping
- Review and enter coded invoices and prepare cheque requisitions for approval by the Executive Director and approved by CEO’s.
- Prepare purchase order requisition for approval by the Executive Director and CEO’s
- Ability to work under extreme pressure and handle tense and stressful situations.
- Demonstrated time management skills.
- High flexibility with strong interpersonal skills that allow one to work effectively in a diverse environment.
- Elevated level of integrity and work ethic
- Must be willing to train.
- Valid Class 5 Drivers License.
Skills:
- Administrative Assistant Certificate or equivalent
- Previous experience required.
- Excellent communication and people skills.
- Proficient level of verbal and written communication skills.
- Proficient with Microsoft Word, Excel, and PowerPoint.
