SUMMARY:

Under the direction of the Public Works Director, Robert Howard, the Administrative Assistant plays a key role in representing the Public Works Department. The Administrative Assistant is responsible for maintaining the reception area and keeping it clean and tidy. Must be punctual, friendly, polite, and courteous to staff, visitors and to the public at large. Must be aware of the programs and services offered at the Public Works Department and be able to provide general information to the public. Must be a highly motivated individual who has excellent interpersonal and communication skills.

DUTIES AND RESONSIBILITIES:

  • Greeting visitors in a professional manner. Determines the nature of there visits and directs them to the appropriate staff.Monitor daily logbook of visitors.
  • Dispatch calls to public works employees.
  • Monitor daily sign in sheets and add all hours daily for bi-weekly submission.
  • Work independently, as well as part of a team.
  • Effective problems solving skills and decision-making skills.
  • Answer incoming calls in a professional, courteous, and respectful manner.
  • Take clear messages and completes handwritten messages for staff.
  • Receiving, recording, and sorting daily mail and faxes.
  • Ensure reception area is always tidy and presentable with all necessary stationery and material.
  • Following safety procedures and controls.
  • Order office supplies and keep inventory of stock.
  • Update calendars and schedule meetings.
  • Perform other clerical reception duties such as filing, photocopying, and faxing.
  • Fill out work order requests ask requested from immediate supervisor.
  • Other duties as assigned.

EDUCATION AND/OR EXPERIENCE:

  • High school graduate or equivalent.
  • Excellent time management and communications skills.
  • MS (Microsoft) Office proficiency and Excel.
  • Excellent organizational skills.
  • Professional attitude and appearance.
  • Customer service attitude.
  • Multitasking and time-management skills, with the ability to prioritize tasks.

 

 A commuter bus is available for NCN workers who travel to and from Thompson, Manitoba, for work. This service helps workers commute safely and conveniently between the community and their workplace.
