JOB SUMMARY

The Finance Clerk provides administrative and financial support to ensure effective, accurate, and timely financial operations. This role is responsible for processing transactions, maintaining financial records, and assisting with accounting procedures such as accounts payable, receivable, payroll support, and reconciliations.

 

Key Responsibilities

 Accounts Payable & Receivable

  • Process vendor invoices, employee reimbursements, and other payables
  • Issue and track outgoing payments and ensure timely payment cycles
  • Generate and follow up on customer invoices and outstanding receivables

 Financial Record Keeping

  • Maintain accurate financial records and databases
  • Perform data entry of financial transactions into accounting software
  • Assist with the filing and archiving of financial documents

 

 Account Reconciliation

  • Reconcile statements, credit card statements, and other ledgers
  • Monitor discrepancies and assist in resolving accounting issues

Payroll Support

  • Collect, verify, and process payroll-related information
  • Support in maintaining employee time and attendance records (if applicable)

 Reporting & Audits

  • Assist with the preparation of monthly, quarterly, and annual financial reports
  • Support finance staff during internal and external audits by providing required documentation

General Finance Administration

  • Respond to internal and external financial inquiries
  • Provide clerical support such as preparing financial correspondence, filing, and mail sorting
  • Participate in system improvements and financial process reviews

Qualifications

  • High School Diploma or GED (required)
  • Post-secondary education or training in Accounting, Finance, or Business Administration (preferred)
  • 1–2 years of experience in a finance or clerical role
  • Proficient in Microsoft Office, especially Excel
  • Experience with accounting software (e.g., Sage, QuickBooks, Xero)
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and work independently or as part of a team
  • Good communication and problem-solving skills

 

Working Conditions

  • Office environment, Monday to Friday
  • May be required to work extended hours during month-end or year-end
  • Use of office equipment including computers, printers, and calculators

 

Performance Expectations

  • Accuracy in data entry and transaction processing
  • Timeliness in meeting deadlines for financial reporting and payments
  • Professional communication with vendors, clients, and internal departments
  • Compliance with company financial policies and procedures
